Acceptable Use Policy (AUP)

This Acceptable Use Policy (“AUP”) sets out the rules for using the VillaFlow platform and website (“Service”). It applies to all users — company administrators, managers, staff, property owners, and anyone else who accesses the Service. It forms part of VillaFlow’s Terms of Service.

The goal is simple: use VillaFlow for legitimate villa and property operations, treat other users with respect, and don’t do anything that harms the platform or the people on it.


1. Permitted Use

You may use VillaFlow to:

  • Manage villa and property operations, job scheduling, maintenance records, and team workflows.
  • Communicate with your staff via LINE for task delivery, photo documentation, and updates.
  • Share relevant property information, reports, and approvals with property owners.
  • Manage billing and subscriptions for your organization’s use of the platform.

2. Prohibited Use

You must not use the Service to:

Illegal or harmful activity

  • Violate any applicable law or regulation, including Thailand’s PDPA and any labor laws governing your staff.
  • Process or store data relating to illegal activities.
  • Infringe the intellectual property rights of any person or organization.
  • Engage in fraud, misrepresentation, or deceptive practices.

Unauthorized access & security

  • Attempt to access accounts, data, or systems you are not authorized to use.
  • Probe, scan, or test the vulnerability of the Service without our written permission.
  • Introduce viruses, malware, or any harmful code into the Service.
  • Circumvent or disable any security, access control, or authentication features.
  • Use automated bots, scrapers, or scripts to access or extract data without authorization.

Misuse of the platform

  • Use the Service in a way that could damage, overload, or impair the platform or its infrastructure.
  • Resell, sublicense, or offer commercial access to the Service to third parties without our written consent.
  • Attempt to reverse engineer, decompile, or copy the software or any part of the platform.
  • Use VillaFlow for purposes entirely unrelated to villa or property management.

Content & communications

  • Upload content that is illegal, abusive, defamatory, discriminatory, or sexually explicit.
  • Harass, threaten, or harm other users of the Service.
  • Impersonate any person, organization, or VillaFlow itself.
  • Use the LINE integration to send spam, unsolicited bulk messages, or content unrelated to legitimate job operations.

Data misuse

  • Upload personal data that you do not have the legal right to process.
  • Use Customer Data from the Service for purposes outside the legitimate management of your properties and team.
  • Share login credentials or account access with unauthorized individuals.

3. Responsibility for Your Team

As the account administrator, you are responsible for ensuring that all staff, managers, and owner users under your account comply with this AUP. You should communicate these rules to your team and take appropriate action if a member of your team violates them.

4. LINE Integration Use

The LINE messaging integration within VillaFlow is provided for operational communication — delivering tasks, collecting photos, and managing job updates. You must not use the LINE integration to send communications that are unrelated to job operations, to contact individuals who have not consented to receive messages, or to circumvent LINE’s own usage policies.

5. Consequences of Violation

If we determine, at our sole discretion, that you or a user under your account has violated this AUP, we may take any of the following actions depending on the severity:

  • Issue a warning and request that the violation stops.
  • Temporarily suspend access to some or all features.
  • Permanently terminate your account without refund.
  • Report the activity to relevant authorities where required by law.

We will generally attempt to contact you before taking action, unless the violation is severe, ongoing, or poses an immediate risk to the platform or other users.

6. Reporting a Violation

If you believe someone is misusing the VillaFlow platform, please report it through our Contact page. We take all reports seriously and will investigate promptly.

7. Changes to This Policy

We may update this AUP from time to time. We will post the updated version on this page with a revised date. Continued use of the Service after changes constitutes acceptance.
