Terms of Service

Welcome to VillaFlow. These Terms of Service (“Terms”) govern your access to and use of the VillaFlow website at https://villaflowos.com and the VillaFlow villa operations platform (together, the “Service”), operated by VillaFlow (“VillaFlow,” “we,” “us,” or “our”).
By creating an account, starting a free trial, or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
VillaFlow is a villa and property management platform that lets managers run operations from a central dashboard while their teams complete tasks through LINE. The Service includes task management, recurring schedules, photo documentation, owner approvals, automated monthly reports, and related features.
2. Accounts & Eligibility
You must be at least 18 years old and able to enter a binding contract to use the Service. You are responsible for the accuracy of the information you provide, for keeping your login credentials secure, and for all activity that occurs under your account. Notify us immediately of any unauthorized use.
3. Free Trial
We offer a 30-day free trial. At the end of the trial, your subscription will begin and your chosen payment method will be charged unless you cancel before the trial ends. We may modify or withdraw trial offers at any time.
4. Subscriptions, Plans & Billing
The Service is offered on subscription plans (including Starter, Growth/Professional, and Enterprise tiers), with monthly or yearly billing. By subscribing, you authorize us and our payment processor (Stripe) to charge the applicable fees on a recurring basis until you cancel.
Fees are billed in advance and, except as stated in our Refund Policy or required by law, are non-refundable. We may change our pricing with reasonable advance notice; changes apply to the next billing cycle.
Plan limits (such as the number of villas or staff) apply according to your selected tier. If you exceed your plan limits, we may ask you to upgrade.
5. Cancellation & Non-Payment
You can cancel your subscription at any time from your account settings or by contacting us. Cancellation takes effect at the end of the current billing period, and you retain access until then. If payment fails or is overdue, we may suspend or limit your access to the Service.
6. Your Data & Content
You and your organization retain ownership of the data and content you upload to the Service, including villa details, staff information, job records, and photos (“Customer Data”). You grant us a limited license to host, process, and display Customer Data solely to operate and improve the Service.
You are responsible for ensuring you have the right to upload any data and to share it with staff, owners, and third parties through the Service, and for complying with applicable data protection laws, including obtaining any necessary consents from your staff and property owners.
7. LINE Integration
The Service integrates with the LINE messaging platform to deliver tasks, photo requests, and notifications. Your use of LINE is also subject to LINE’s own terms and policies. We are not responsible for the availability or performance of the LINE platform itself.
8. Acceptable Use
You agree not to: use the Service for any unlawful purpose; upload malicious code or content that is illegal, infringing, or harmful; attempt to gain unauthorized access to the Service or other accounts; reverse engineer or copy the platform; resell or sublicense the Service without our written consent; or use the Service in a way that disrupts or overloads our systems.
9. Intellectual Property
The Service, including its software, design, branding, and content (excluding Customer Data), is owned by VillaFlow and protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable right to use the Service during your subscription. All rights not expressly granted are reserved.
10. Third-Party Services
The Service relies on third-party providers (such as Stripe for payments and LINE for messaging). We are not responsible for the acts, omissions, or policies of these providers, and your use of them may be subject to their own terms.
11. Service Availability
We work to keep the Service available and reliable but do not guarantee uninterrupted or error-free operation. We may perform maintenance, updates, or changes, and may modify or discontinue features over time.
12. Disclaimers
The Service is provided “as is” and “as available” without warranties of any kind, whether express or implied, including fitness for a particular purpose. We do not warrant that the Service will meet all your requirements or be free of errors.
13. Limitation of Liability
To the maximum extent permitted by law, VillaFlow will not be liable for any indirect, incidental, special, or consequential damages, or for loss of profits, data, or business, arising from your use of the Service. Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose.
14. Indemnification
You agree to indemnify and hold VillaFlow harmless from any claims, losses, or expenses arising from your use of the Service, your Customer Data, or your violation of these Terms.
15. Termination
We may suspend or terminate your access if you breach these Terms or use the Service in a way that may harm us or other users. On termination, your right to use the Service ends. You may export your Customer Data before termination; after a reasonable period, we may delete it as described in our Privacy Policy.
16. Changes to These Terms
We may update these Terms from time to time. We will post the updated version with a new “Last updated” date and, where appropriate, notify you. Continued use of the Service after changes means you accept the updated Terms.
17. Governing Law
These Terms are governed by the laws of Thailand, without regard to conflict-of-law principles. Any disputes will be subject to the jurisdiction of the courts located in Thailand, unless otherwise required by applicable law.
