Billing, Subscription & Refund Policy

This policy explains how billing, subscriptions, trials, and refunds work for VillaFlow (“VillaFlow,” “we,” “us,” or “our”). By subscribing to the Service, you agree to the terms below.


1. Subscription Plans

VillaFlow offers three subscription tiers:

  • Starter — for small villa management operations, with a set limit on villas and staff.
  • Growth / Professional — includes owner portal access, advanced reporting, and approval workflows.
  • Enterprise — unlimited villas and staff, all features enabled, including advanced analytics and enterprise-level support.

2. Free Trial

New accounts receive a 30-day free trial with full access to the features of your selected plan. No charge is made during the trial period.

  • The trial begins on the date you create your account.
  • A valid payment method (via Stripe) is required to start the trial.
  • If you do not cancel before the trial ends, your subscription will automatically start and your payment method will be charged.
  • We reserve the right to modify, shorten, or withdraw trial offers at any time for new sign-ups.

3. Billing Cycles

Subscriptions are billed on either a monthly or yearly basis, as selected at checkout.

  • Monthly plans are charged every 30 days from the subscription start date.
  • Yearly plans are charged once per year and offer a discounted rate compared to monthly billing.
  • All fees are charged in advance at the start of each billing period.
  • Invoices are issued automatically via Stripe and sent to your registered email address.

4. Payment Processing

All payments are processed securely by Stripe. VillaFlow does not store your full card details. By providing your payment information, you authorize Stripe to charge your payment method on a recurring basis according to your chosen plan.

Accepted payment methods are those supported by Stripe in your region. If a payment fails, Stripe may retry the charge automatically. You are responsible for keeping your payment details up to date in your account settings.

5. Auto-Renewal

Subscriptions renew automatically at the end of each billing period unless cancelled. You will not receive a separate reminder before each renewal. It is your responsibility to cancel if you no longer wish to continue.

6. Price Changes

We may update our subscription pricing at any time. We will give you at least 14 days’ notice of any price increase before it affects your subscription. Price changes take effect at the start of your next billing period after the notice period. Continued use of the Service after the change constitutes acceptance of the new price.

7. Upgrades & Downgrades

  • Upgrading your plan takes effect immediately. You will be charged a prorated amount for the remainder of the current billing period.
  • Downgrading takes effect at the start of the next billing period. If your current usage exceeds the limits of the lower plan (e.g. number of villas), you may need to reduce usage before the downgrade applies.

8. Cancellation

You can cancel your subscription at any time from your account settings or by contacting us.

  • Cancellation takes effect at the end of the current billing period.
  • You retain full access to the Service until the end of the paid period.
  • No partial refunds are issued for unused time in a billing period unless required by law.
  • After cancellation, your data is retained for a reasonable period before deletion, as described in our Privacy Policy.

9. Refund Policy

Free trial. If you cancel during the 30-day free trial, you will not be charged. No refund is applicable.

Monthly plans. Payments are non-refundable. If you cancel a monthly plan, you will not be charged for the next period, but no refund is issued for the current period.

Yearly plans. If you cancel a yearly plan within 7 days of the annual renewal date and have not actively used the Service in that period, you may request a refund by contacting us. Refund requests outside this window are evaluated on a case-by-case basis and are not guaranteed.

Exceptions. We will issue a refund where required by applicable law, or at our sole discretion in cases of documented billing errors or duplicate charges.

10. Non-Payment & Suspension

If a payment fails and cannot be recovered within 7 days:

  • Your account will be moved to a restricted state. You will still be able to log in and export your data, but new jobs, schedules, and notifications will be paused.
  • If payment is not received within 30 days of the failure, your account may be suspended and data deletion may begin.
  • We will notify you by email at each stage of this process.

11. Chargebacks

If you initiate a chargeback with your bank or card provider without first contacting us to resolve the issue, we reserve the right to suspend your account immediately pending resolution. We encourage you to contact us first — most billing issues can be resolved quickly.

12. Taxes

Prices displayed exclude applicable taxes unless stated otherwise. You are responsible for any taxes applicable in your jurisdiction. VillaFlow will add VAT or other applicable taxes to your invoice where required by law.
